Position Overview

Emerald is seeking a dynamic and results-driven Attendee and Exhibitor Marketing Specialist to support our prestigious Connections brands. This pivotal role drives both attendee acquisition and exhibitor engagement for our leading B2B events within the action sports, outdoor, and lifestyle industries.

The successful candidate will serve as a critical bridge between sales and marketing, supporting the team to generate leads, deliver prospects, and ensure a seamless experience for all participants. We are looking for a professional who balances a process-driven mindset with creative intellect—someone willing to ask great questions, invest time in learning, and emanate poise and maturity.

Responsibilities

Key Responsibilities

Lead Generation & Audience Acquisition

  • Campaign Administration: Assist with the scheduling and coordination of audience acquisition marketing activities to support attendee outreach.
  • Database Maintenance: Help maintain records of target audiences and update marketing lists as directed by the Marketing Director.
  • List Compilation: Compile and organize prospective audience and attendee lists to support the Buyer Relations team.
  • Budget Tracking: Track and report on remarketing and digital advertising budgets as directed.
  • Content Support: Format, edit, and distribute messaging for lead generation campaigns based on provided content.
  • Calendar Management: Maintain and update event calendars and marketing timelines, ensuring alignment with show deadlines.

Exhibitor & Sponsorship Engagement

  • Administrative Sales Support: Assist with entering and updating prospect, exhibitor, and sponsor information in Salesforce and other tracking tools to support the sales process.
  • CRM Data Entry: Accurately enter all data related to account contacts, sponsorships, and marketing opportunities, maintaining up-to-date and organized records.
  • Asset Coordination: Collect, file, and track all sponsorship and exhibitor materials as required, maintaining organized digital folders and checklists according to event timelines.
  • Onboarding Coordination: Support the scheduling and tracking of onboarding tasks for GRIP and Bulletin platforms, ensuring exhibitors and sponsors complete required profiles ahead of deadlines.
  • Sponsorship Tracking: Update inventory spreadsheets, prepare weekly status reports, and support administrative communication between Sales and Operations for sponsorship activities.

Marketing Automation & Lead Nurturing

  • Email Campaign Administration: Prepare, schedule, and send email campaigns through HubSpot as directed, ensuring timely outreach and accurate recipient lists.
  • Content Management: Format, upload, and distribute B2B marketing content, including emails and website copy, based on team instructions.
  • Mobile App and Matchmaking Support: Assist with setting up and maintaining attendee and exhibitor records in event mobile apps and matchmaking tools.
  • Email Fulfillment Support: Track outbound email communications, maintain sending logs, and coordinate with the marketing team to ensure calendar deadlines are met.

Customer Retention & Insights

  • Data Entry: Input and update customer insights, consumer trends, and market analysis data into tracking systems.
  • Reporting: Generate regular reports on customer retention metrics and digital marketing activities as requested by the team.
  • Administrative Support: Maintain organized records of retention initiatives, assist with documentation, and support process tracking for improvement efforts.

Digital Marketing & Systems Administration

  • Channel Administration: Coordinate updates and maintain records for digital marketing channels, including email, website, social media, and digital advertising platforms.
  • Systems Management: Perform routine data entry and updates in marketing systems, event registration, and customer databases (HubSpot, Cvent, Grip, Salesforce), ensuring data accuracy and organization.
  • Website Administration: Support the ongoing maintenance of website content, implementing updates and tracking changes as directed.
  • Collateral Coordination: Organize and catalogue digital and print collateral, ensuring files are regularly updated, accessible, and documented for the team.

Event Coordination & Customer Service (Administrative Support)

  • Customer Service Coordination: Log and route inbound customer support requests received via email inboxes and platforms like A2Z. Monitor inquiries, ensure responses are tracked, and maintain records of communications.
  • Mobile App Administration: Assist with scheduling updates, providing user instructions, and managing attendee and exhibitor lists on the event mobile app and matchmaking platforms.
  • Exhibitor Services Administration: Process and track client badge requests, exhibit/decorator service requests, and maintain databases of incoming exhibitor inquiries for follow-up.

Qualifications

Qualifications

  • Experience: 1-2 years of experience supporting a sales or marketing team in a professional setting (internship experience counts).
  • Marketing Automation: Proven experience in writing, building, automating, executing, and analyzing performance of email campaigns using tools like HubSpot.
  • Content Creation: Demonstrated experience creating and managing B2B marketing content, including writing emails, website copy, and digital content.
  • Digital Proficiency: Strong understanding of SEO, digital marketing best practices, and social media for brand awareness.
  • Technical Skills: Proficiency in MS Outlook, Word, and Excel. Experience with additional tools such as Salesforce, A2Z/Personify, Basecamp, Adobe Creative Suite, Canva, DataMart, Grip, Smartsheet, and WordPress is a plus.
  • Organizational Skills: Highly organized with the ability to jump from project to project, keep detailed notes, and consistently report on progress.
  • Soft Skills: Exceptional verbal and written communication skills. A proactive work style that demonstrates the ability to prioritize workload, multitask, and identify potential challenge areas.
